Overview
Odoo Integration for Gmail ("the Extension") is committed to protecting your privacy. This privacy policy explains how the Extension collects, uses, and protects your information.

Information We Collect
Data Accessed from Gmail
The Extension accesses the following information from Gmail when you explicitly open an email:
- Sender and recipient email addresses: Used to search for matching contacts in your Odoo instance
- Email subject and body: Used when you choose to create opportunities, tasks, or tickets in Odoo
- Email date and metadata: Used for logging emails to Odoo records
Data Accessed from Odoo
The Extension retrieves the following information from your Odoo instance:
- Contact information (names, emails, phone numbers, companies)
- CRM opportunities associated with contacts
- Project tasks associated with contacts
- Helpdesk tickets associated with contacts
- Company information and related contacts
Configuration Data
The Extension stores your Odoo instance configuration locally:
- Odoo instance URL
- Database name
- Authentication credentials
- User preferences (visible sections settings)
How We Use Your Information
The Extension uses your information solely for the following purposes:
- Display Contact Information: Show relevant Odoo contact details in Gmail's sidebar
- Create Odoo Records: When you click "Create" buttons, the email content is sent to your Odoo instance to create opportunities, tasks, or tickets
- Log Emails: When you click "Log Email" buttons, the email content is saved to your Odoo instance's chatter
- Search and Filter: Search through opportunities, tasks, and tickets associated with contacts
- Caching: Temporarily cache Odoo API responses locally to improve performance
Data Storage and Security
Local Storage Only: All data is stored locally on your device using Chrome's storage APIs. No data is transmitted to any third-party servers except your own Odoo instance.
Data Transmission: The Extension communicates directly with YOUR Odoo instance using HTTPS. Your Odoo credentials and data are never sent to the extension developer or any third party.
Cache Management: Cached data is automatically cleared after 5 minutes or when you click the refresh button. You can also clear all cached data by removing the extension.
Third-Party Services
LemonSqueezy (Payment Processing)
The Extension uses LemonSqueezy (https://www.lemonsqueezy.com/) for subscription management and payment processing. When you subscribe to the PLUS plan, LemonSqueezy collects:
- Your email address for account management and receipts
- Payment information (processed securely, not stored by the Extension)
- Subscription status and billing information

Important: Payment data is handled entirely by LemonSqueezy. The Extension never receives or stores your credit card information.
InboxSDK (Gmail Integration)
The Extension uses InboxSDK (https://www.inboxsdk.com/) to integrate with Gmail's interface. InboxSDK is a library that helps the Extension interact with Gmail's UI to display the sidebar and detect email contacts. InboxSDK does not collect, transmit, or store your email data.
PostHog (Analytics)
The Extension uses PostHog (https://posthog.com/) for anonymous usage analytics. PostHog helps us understand how the extension is used and identify issues. Data collected includes:
- Anonymous user ID (random UUID, not linked to your identity)
- Feature usage events (e.g., "email logged", "record created")
- Error reports for debugging (no personal data or email content)

Opt-out: You can disable analytics at any time in Settings > Account > Privacy.
Third-Party Data Sharing
We do NOT share your data with any third parties for advertising, analytics, or data brokering purposes.
The Extension only communicates with:
- Your Odoo Instance: The Extension sends API requests to the Odoo instance URL you configure to retrieve and create records
- LemonSqueezy: Only for subscription management (email, subscription status, payment processing)
- PostHog: Anonymous usage statistics (feature usage, errors). No PII or email/Odoo content. You can opt-out in Settings > Account > Privacy.
The Extension does NOT:
- Sell your data to data brokers
- Share data for advertising purposes
- Send Gmail or Odoo data to the extension developer's servers
Google API Services User Data Policy
Odoo Integration for Gmail's use and transfer of information received from Google APIs adheres to Google API Services User Data Policy, including the Limited Use requirements.
Limited Use Compliance:
- The Extension only accesses Gmail data when you explicitly open an email
- Email data is used exclusively for the disclosed purpose: integrating with your Odoo CRM
- No Gmail data is used for serving advertisements
- Gmail data is not transferred to third parties (except your own Odoo instance)
- Gmail data is not used for determining creditworthiness or lending purposes
Permissions Explained
The Extension requests the following Chrome permissions:
Required Permissions (Granted at Installation)
- scripting: Required to inject the sidebar interface into Gmail
- storage: Required to save your Odoo configuration and cache API responses locally
- host_permissions (mail.google.com): Required to access Gmail's interface and display the sidebar
- host_permissions (*.odoo.com): Required to communicate with Odoo Online cloud instances (e.g., yourcompany.odoo.com)
- host_permissions (lemonsqueezy.com): Required for subscription management and payment processing
Optional Permissions (Requested When Needed)
The Extension requests optional permissions for custom Odoo instances:
- optional_host_permissions (https://*/*): Used ONLY if you connect to a self-hosted Odoo instance on a custom domain (e.g., odoo.yourcompany.com or erp.example.com). This permission is only requested when you explicitly configure a custom Odoo URL.
Note: The Extension only supports HTTPS connections for security. HTTP connections are not allowed.
When Optional Permissions Are Requested
Chrome will prompt you to grant optional permissions when:
- You configure a custom Odoo URL that is not an *.odoo.com domain
- You explicitly choose to connect to a self-hosted Odoo instance
You can deny these permissions if you only use Odoo Online (*.odoo.com). The Extension will work normally with Odoo Online without granting optional permissions.
Why These Optional Permissions?
Many organizations host Odoo on their own servers with custom domains (e.g., erp.acme.com, odoo.mycompany.net). To support these users, the Extension requests optional broad permissions. However:
- These permissions are ONLY used to communicate with YOUR configured Odoo instance
- They are NEVER used to access other websites
- You can revoke them at any time in Chrome settings
- The Extension will only request them if you enter a custom Odoo URL
Your Data Rights
You have the following rights regarding your data:
- Access: All your data is stored locally and in your Odoo instance, which you control
- Deletion: You can clear all Extension data by:
- Clicking the refresh button (clears cache)
- Removing the Extension from Chrome (clears all local data)
- Portability: Your data remains in your Odoo instance and is accessible via Odoo's export features
- Control: You can revoke the Extension's access at any time by removing it
Data Retention
The Extension retains data as follows:
- Configuration Data: Stored until you remove the Extension
- Cached API Responses: Automatically deleted after 5 minutes
- User Preferences: Stored until you remove the Extension
When you uninstall the Extension, all locally stored data is automatically removed by Chrome.
Children's Privacy
The Extension is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13.
Changes to This Privacy Policy
We may update this privacy policy from time to time. We will notify users of any material changes by updating the "Last updated" date at the top of this policy and, if required, through the Extension's update notifications.
Continued use of the Extension after changes constitutes acceptance of the updated privacy policy.
